Terms and Conditions
PAYING FOR YOUR TRIP
Bookings may be made by PayPal, credit card or GBP cheque and places will be reserved upon confirmation that funds have cleared into our account. Bookings may also be made by telephone, fax or e-mail to reserve a provisional place on any one of our tours. A non-refundable (after confirmation) deposit of 25% of the total price for each person travelling must then be received within 10 days, if the booking is placed more than 8 weeks prior to the start of the holiday. A confirmation along with an invoice will then be issued. If the booking cannot be confirmed the deposit will be returned. If a booking is made within 8 weeks of the commencement of the tour then full payment is required for the total cost and reservation will be secured upon receipt of this. In all cases a signed and completed booking form is required. All balances are payable 8 weeks prior to the commencement of your tour.
ALTERATIONS OF BOOKINGS BY YOURSELF
Should you require to change your booking (for example, changing the dates of your holiday) after the booking has been confirmed, Deluxe Cycle Tours will endeavour to accommodate your changes, after being informed in writing. However, should the alterations be impossible to arrange then we reserve the right to apply the cancellation set out below if the alteration is requested within 8 weeks of commencement of your holiday. Bookings can be transferred to people not listed on the original confirmation, although a £20.00 administration fee will be charged and a new booking form will need to be completed and signed. If, after the holiday commences, you wish to make changes to your cycle tour in any way, including changes to itinerary, accommodation, duration of stay etc, we cannot accept liability for any loss, damage or additional expense incurred and no refund will be made.
CANCELLATION OF BOOKINGS BY YOURSELF
If you, or any member of your party, need to cancel a confirmed booking, for whatever reason, the cancellation will be effected upon receipt of written notification. The following cancellation charges will apply:
- More than 8 weeks before start date of tour – deposit only
- Less than 8 weeks, but more than 4 weeks before start date of tour – 35% of total tour cost
- Less than 4 weeks, but more than 2 weeks before start of tour – 50% of total tour cost
- Less than 2 weeks, but more than 1 day before start of tour – 75% of total tour cost
- On or after the start date of the tour – 100%
ALTERATIONS OF BOOKINGS BY OURSELVES
We reserve the right to make any changes to advertised or featured accommodation should the unfortunate need arise. In the event of any significant changes being made to the content or terms of the tour as published we will endeavour to notify you as soon possible. If the changes are unacceptable to yourselves you may transfer to another tour, without charge, if places are available. You may also cancel your booking with a full refund as full and final settlement.
CANCELLATION OF BOOKINGS BY OURSELVES
If we find it necessary to cancel your booking we will make every effort to notify you at least 5 weeks prior to the start date of the tour and place you on a suitable and acceptable alternative tour. If the alternative is unacceptable we will refund all moneys paid to us as full and final settlement. If we cancel your tour less than 5 weeks before the start date we will also compensate you with £15.00 per person for your inconvenience. We reserve the right to cancel, without refund or making of alternative arrangements, any booking where the customer fails to make payment or, by their behaviour makes it necessary to terminate their tour for the safety and enjoyment of the other customers. We shall accept no liability for any costs incurred by such a person.
ACCOMMODATION
The cost of each tour is based on double or twin-bedded rooms. The request for single rooms will, unfortunately, incur a single room supplement charge. Should you wish, we can try to pair single travellers in twin rooms, although we cannot guarantee that a suitable sharer will be available on the same trip. All accommodation is chosen for its quality and availability, although we do reserve the right to change from that featured in the itinerary should it be necessary to do so and for the tour to continue.
CURRENCY CHANGES
We guarantee that the price of the tour will not be subject to any surcharges once a booking has been confirmed, other than in the event of a 10% or more devaluation of the British Pound against the Euro. Should this situation arise we reserve the right to levy a surcharge of half the devaluation percentage against the total cost of the tour (e.g., if the devaluation was 10% we would levy a 5% surcharge against the total cost of the tour). We will notify you as soon as possible in writing of any surcharges and should they be 10% or more you will be entitled to cancel your tour with a full refund as full and final settlement. Your cancellation right must be exercised in writing within 14 days of receipt of the surcharge notice.
YOUR STATE OF HEALTH
This is an activity-based holiday and all bookings are taken on the assumption that all persons are of good health and know not of any condition that may affect their health during the tour. If this is in doubt then you should consult your Doctor beforehand and send copies of any medical certificates to ourselves upon making your booking.
PASSPORTS AND TRAVEL INSURANCE
A full passport is required for entry into France. There are no recommended or compulsory health formalities. All customers must have suitable travel insurance, which we recommend provides them with appropriate cover for cycling in France and to include medical cover. Details will be required by the Guides on the first day of the tour.
LIABILITY
Please note that Deluxe Cycle Tours cannot accept any responsibility for any loss or damage to your luggage or personal property, nor for any other loss, damage, inconvenience, delay, illness, fatal or other injury suffered by you as a result of making a reservation with us, unless it can be shown that the company is in breach of its contractual and legal duty. In the event of you accepting any payment from Deluxe Cycle Tours, where it involves responsibility of a third party, this will be made on condition that you assign your rights to us to claim in your place, and fully cooperate if we wish to enforce those rights.
COMPLAINTS
All complaints should be brought to the attention of the representative of Deluxe Cycle Tours as soon as it arises and we will endeavour to resolve it immediately. Failure to notify our representative at the time, and therefore failing to provide the company with an opportunity to rectify the cause of the complaint, may result in your loss of any legal rights in respect of the particular matter. If the issue is not resolved, then the complaint should be made in writing to Deluxe Cycle Tours at the company address within 28 days of the end of your tour.
This contract is governed by English law and is subject to the exclusive jurisdiction of the courts of England and Wales.
